Communicating with Ecliptic Estate Management

1. Routine queries are accepted during office hours telephonically, via SMS / WhatsApp or via email; email is preferred as it generates a paper trail.
2. The estate name and section number (called unit for ease of use) must be listed in the subject line when communicating via email and inserted as text in the SMS / WhatsApp.
3. Sandhurst Village is abbreviated to SHV for ease of use.
4. Availability of managers after hours is for legitimate emergency situations only, notification of which is only accepted via SMS / WhatsApp.
5. The after-hours emergency number is: 071 610 1288. This is the number to use for SMS / WhatsApp.
6. If the emergency occurs late at night or is of a grave nature, it is permissible for the on-site security personnel and Trustees to call the emergency estate management number.

Keys / Parcels Signed in at the Guardhouse

Key/s and any other items/parcels handed in or delivered to the guardhouse for collection by the resident or a third party are done so at their own risk – neither the Body Corporate nor the security service provider can be held responsible for these items.

To mitigate the risk of loss, an item control register is available for each unit at the guardhouse, and all parcels and keys must be signed in and out using the register.

Incident Reporting

In terms of security, the Body Corporate employs the services of a 24 hour security service provider and there is strict security protocol pertaining to this portfolio. Under no circumstances may the security guards be abused and should this occur, there will be consequences. We draw residents’ attention to the protocol pertaining to incident-reporting:

• Contact the guardhouse via their cell phone on 066 457 4600
• All complainants remain anonymous
• The guards will contact the unit in question and ask them to cease their disturbance / activity
• If the disturbance persists residents must contact the guardhouse again, and SAPS
• The guards will then activate the panic button if the disturbance is of a serious nature, and the armed response will be called to the estate to address the situation. The resident of that unit will be invoiced for the call out
• The resident who reported the incident should send the Estate Management Team an email to ensure that the incident is documented, together with the relevant case number from SAPS.
• Please bear in mind though that according to the Sectional Titles Schemes Management Act, residents have rights and duties within a scheme but residents are also expected to have a reasonable ability to withstand adverse conditions – one cannot complain if the slightest noise is heard as that is unreasonable in close proximity living.

Ecliptic is POPIA compliant and responsible for protecting Personal Information that falls within its Service Level Agreements with the Bodies Corporate. Ecliptic Estate Management is not appointed as the Deputy Information Officer to the Body Corporate. All Personal Information queries are to be directed to the Board of Trustees.
